Who We Seek
Hispanic Federation seeks a full-time Payroll and Timekeeping Manager to support organization-wide timekeeping administration and payroll processing. The Manager will monitor the timely and accurate completion of timesheets across HF’s offices, review timekeeping records and employee allocations for completeness, and follow up with staff and supervisors to resolve discrepancies. The position will also assist with payroll processing and reporting, monitor paid time off and other leave records, and serve as a backup during payroll processing periods.
Reporting to the Director of Payroll and Benefits, the Manager will work closely with employees, supervisors, Finance, and Human Resources to promote compliance with HF’s timekeeping and payroll procedures. The successful candidate will have experience with payroll and timekeeping administration, strong attention to detail, and the ability to communicate clearly and provide responsive support across a growing, multi-state organization.
The position is hybrid and will require onsite presence per HF’s in-office policy. All staff are required to work from the office at least 10 days per month, with a minimum of one day per week. Additional time onsite may be required based on business operational needs.

Tasks and Responsibilities:
  • Oversee timely and accurate completion of timesheets across HF’s eight (8) offices across the United States, Puerto Rico, and Washington, DC.
  • Ensure compliance is met with all reporting requirements, including complete timesheet records and correct allocations.
  • Support payroll processing and review registers as requested and required.
  • Serve as back-up during payroll processing weeks and provide redundancy.
  • Support implementation of new policies and procedures as they are finalized and issued to staff.
  • Execute periodic reviews of files and timesheet submissions; track PTO and other leaves to ensure HF’s PEO is properly calculating and presenting available and used time off.

Qualifications:
  • Bachelor’s Degree with experience in the nonprofit finance and administration or a commensurate experience.
  • Knowledge of office administration and procedures, understanding of general bookkeeping procedures required.
  • Excellent interpersonal skills and strong customer service background.
  • Strong written and verbal communication skills in English are required; understanding of Spanish is an asset.

Benefits:
Salary is commensurate with experience from $55,000-$65,000; benefits package includes paid vacation, paid medical, dental, and vision insurance, and matching retirement plan.
